To ensure consistency and brand compliance, all swag or promotional products, including displays, banners, signage, and packaging bearing reference to Virginia Tech must be produced by a licensed vendor and reviewed through the university's licensing agent, the Collegiate Licensing Company. Officially licensed licensees and manufacturers are required to follow strict fair labor practices that meet the University Code of Conduct.

Procedure for Ordering Virginia Tech Promotional Products

  1. Decide what type of promotional product(s), "swag," or marketing assets you are looking for.
  2. Choose from the list of licensed vendors you'd like to work with. 
  3. Review the university's Licensing Guidelines at the tab below.
  4. Reach out to your chosen vendor.
  5. Submit your artwork to the licensee or work with the licensee to design artwork that is brand compliant. Do not place your order at this time.
  6. Fill out the Branded Product Request Form. Once you receive approval from the Licensing and Trademarks office, you are ready to submit the order with the licensee. 
  7. Once the artwork is submitted to the licensee or created with the licensee, it is the responsibility of the licensee to submit the artwork to the Collegiate Licensing Company (CLC)'s online review system, Brand Manager 360, which will prompt review by Virginia Tech's Licensing and Trademarks office.
  8. The licensee is free to produce the product once approval has been granted by Virginia Tech's Licensing and Trademarks office.
  9. You must submit written approval from the Licensing and Trademarks office and a copy of the completed Branded Product Request Form with your invoice.  

The process once artwork is submitted can take up to two weeks so we encourage you to plan ahead. The Licensing and Trademarks office is always willing to help and can be reached at licensing@vt.edu.

  3. Understand and follow your department's or organization's rules for purchasing branded products.
  4. Review the university's Licensing Guidelines in the tab below.
  5. Reach out to your chosen vendor.
  6. Submit your artwork to the licensee or work with the licensee to design artwork that is brand compliant. 
  7. Once the artwork is submitted to the licensee or created with the licensee, it is the responsibility of the licensee to submit the artwork to the Collegiate Licensing Company (CLC)'s online review system, Brand Manager 360, which will prompt review by Virginia Tech's Licensing and Trademarks office.
  8. The licensee is free to produce the product once approval has been granted by Virginia Tech's Licensing and Trademarks office.

Student organizations wishing to use a Virginia Tech trademark must be officially recognized by the Division of Student Affairs.  For a list of acceptable uses of University trademarks by student groups, please check the Licensing Guidelines. All promotional products with a Virginia Tech trademark must be produced by a licensed vendor. Please see the "Find a Licensee" tab to search the many licensees that are available to facilitate your order.

  6. Submit your artwork to the licensee or work with the licensee to design artwork that is brand compliant. 
  7. Once the artwork is submitted to the licensee or created with the licensee, it is the responsibility of the licensee to submit the artwork to the Collegiate Licensing Company (CLC)'s online review system, Brand Manager 360, which will prompt review by Virginia Tech's Licensing and Trademarks office.

  3. Access your chapter's logo. You can reach out to licensing@vt.edu or your chapter's liason to obtain the logo.
  4. Review the university's Licensing Guidelines at the tab below.
  5. Reach out to your chosen vendor.
  6. Submit your artwork to the licensee or work with the licensee to design artwork that is brand compliant. 
  7. Once the artwork is submitted to the licensee or created with the licensee, it is the responsibility of the licensee to submit the artwork to the Collegiate Licensing Company (CLC)'s online review system, Brand Manager 360, which will prompt review by Virginia Tech's Licensing and Trademarks office.
  8. The licensee is free to produce the product once approval has been granted by Virginia Tech's Licensing and Trademarks office.

The office of Licensing and Trademarks works alongside the Athletics department to form the University’s name, image, and likeness (NIL) committee.

All requests to use University trademarks, branding elements or identifying markers for student-athlete co-branding must be submitted using the Student-Athlete Co-Branding Request Form below. Please note this does not guarantee your request will be approved. Allow adequate time for the Virginia Tech NIL Committee to review, including any required revisions.
